Privacy Policy

Willow & Mae creates celebrations for children, so we take particular care with families' information. This policy explains what we collect, why, and how we look after it. We handle personal information in line with the Australian Privacy Principles.

1. What we collect

We only collect what we need to plan and deliver your celebration:

  • Your details: name, email, phone number and the address of the celebration

  • Celebration details: date, chosen experience, guest numbers, and the birthday child's first name and age

  • Your space: measurements, photos of the room you send us, and access and parking notes

  • Health information: allergies, dietary requirements and skin sensitivities for the birthday child and guests, so we can prepare the Refresh & Treat Bar and activities safely

  • Payment details: the name and reference that appear on your bank transfer. We never ask for card or bank login details

  • Website information: basic, non-identifying data about how people use our website, through cookies and analytics

  • Photos: only where you have given permission (section 5)

We collect this from you directly, through our enquiry form, email, phone or social media messages. We do not knowingly collect personal information directly from children.

2. Information about children

  1. We only collect the information about children we need for the celebration: usually the birthday child's first name and age, guest numbers and any allergies or sensitivities.

  2. When you share information about guests, such as allergies, please make sure their parents are happy for you to share it with us.

  3. We never use children's information for marketing, and we never share it with anyone except as needed to deliver your celebration.

3. How we use your information

We use your information to:

  • reply to your enquiry and confirm availability

  • prepare your quote, booking confirmation, invitations and celebration

  • plan setup, travel and access to your home

  • keep children safe, for example by preparing allergy-aware refreshments

  • take payments and keep financial records

  • send you emails about Willow & Mae, but only if you have opted in. You can unsubscribe at any time

4. Who we share it with

We never sell, rent or trade your personal information. We only share it with trusted service providers who help us run the business, such as:

  • our website platform (Squarespace), which hosts our enquiry forms

  • our bank, which processes your payments

  • our email and cloud storage provider, Google Workspace (including Gmail and Google Drive)

  • our accountant, for tax and financial records

Some of these providers store data overseas, mainly in the United States. We choose reputable providers with strong security practices. We may also disclose information where the law requires it.

5. Photos and videos

  1. We will only use photos or videos that show children on our website, social media or marketing with a parent's written permission. We ask for this separately at booking, and saying no won't affect your booking in any way.

  2. We never publish children's surnames, your address or your suburb alongside celebration photos.

  3. You can withdraw permission at any time by emailing us. We'll remove the content from our website and social media within 14 days. We can't recall content that others have already shared, so we'll stop using it in anything new.

6. How we store and protect your information

We store information in secure, password-protected accounts with two-factor authentication where available. Only Willow & Mae can access it.

We keep information only as long as we need it:

  • Enquiries that don't become a booking - 12 months, then deleted

  • Allergy and health details - Deleted within 30 days after your celebration

  • Photos of your space - Deleted within 30 days after your celebration

  • Booking and payment records - 5 years, as required for tax purposes

  • Photos you've given permission to use - Until you withdraw permission

If a data breach is likely to cause you serious harm, we will tell you promptly and explain what we're doing about it.

7. Accessing or correcting your information

You can ask to see the information we hold about you, or ask us to correct or delete it, by emailing hello@willowandmae.com.au. We'll respond within 30 days. We may need to keep some records for tax or legal reasons, and we'll tell you if so.

8. Cookies and our website

Our website is hosted by Squarespace, which uses cookies to make the site work and to give us anonymous statistics about visits. You can block or delete cookies in your browser settings. Some parts of the site may not work as well without them.

9. Questions and complaints

If you have a question or concern about your privacy, please email hello@willowandmae.com.au. We'll respond within 30 days and work with you to resolve it.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
